How to Use It

Download & open

Click the download button above. Open in Excel, or import into Google Sheets (File → Import → Upload → Keep current format).

Update your staff list

Replace the sample employees with your team on the Staff List tab. Set each person’s role, position, and hourly rate.

Fill in the schedule

Enter shift times (e.g., 9:00 AM, 5:00 PM) in the gold cells. Hours, costs, and subtotals calculate automatically.

Check your prime cost

Switch to the Summary tab, enter your weekly Net Sales and COGS. Your prime cost percentage appears instantly with a status label.

Frequently Asked Questions

Does this template work in Google Sheets?

Yes. All formulas use standard spreadsheet functions compatible with both Excel and Google Sheets. To import: open Google Sheets, go to File → Import → Upload, select the .xlsx file, and choose “Keep current format.”

How does the template calculate overnight shifts?

The template uses a MOD-based formula that correctly handles overnight shifts. For example, a shift from 10:00 PM to 6:00 AM will correctly calculate as 8 hours. Enter times in standard format and the formula handles the rest.

Can I add more employees?

Yes. Each role section includes 3 blank rows. To add more, insert rows within a section (before the subtotal row) and copy the formulas from an existing employee row. Update the Staff List tab to match.

What is the Prime Cost summary tab?

The Summary tab pulls total labor cost from each role section, lets you enter Net Sales and COGS, and automatically calculates your prime cost percentage. Color-coded status bands show whether you’re in the healthy range (≤60%) or need to take action (>70%).
